Automatic Report Refresh: How to Set It Up with Power BI

An automatically refreshed report pulls the latest data from your accounting system on a set schedule. A manager opens it and sees today’s revenue, expenses, profit or outstanding balances, not last month’s Excel export. Power BI does this through scheduled refresh: data from Rivilė, Finvalda, Excel or SharePoint is loaded into a single data model several times a day, and nobody has to press a button. Here we look at how this chain works, how many refreshes your licence allows, what most often stops the automation, and how to choose the right way to automate your reporting.

TL;DR

  • Power BI Pro allows up to 8 scheduled refreshes a day; Premium and Fabric capacities allow up to 48.
  • If your accounting database sits on your own server, you need a data gateway that runs continuously.
  • If nobody opens a report for two months, Power BI pauses its refresh schedule.
  • The scheduled time is not exact: a refresh can be delayed by up to an hour, so leave some slack before important meetings.
  • Automation does not remove the need to manage access rights: it has to be aligned with GDPR requirements.

What manual reporting really costs

In many Lithuanian companies the usual cycle looks like this: an accountant exports data from the accounting system, cleans it up in an Excel file, combines it with sales or warehouse tables and emails it to the manager. By the time the manager opens the file, the figures are already several days old.

This process carries four hidden costs:

  1. Time. If a weekly report takes 3 hours, that adds up to around 150 working hours a year that the accountant could spend on analysis.
  2. Errors. Every manual copy is a chance to miss a row or apply an old filter.
  3. Versions. The finance director, the managing director and the consultant end up with three different files showing three different sets of figures.
  4. Delay. Decisions are made on what was, not on what is happening now.

For example, the owner of a restaurant chain needs to see each outlet’s daily revenue and food costs, rather than waiting for the month to close. Automatic refresh solves all four problems at once, because the report is built once and from then on it simply refreshes.

How automatic refresh works in Power BI

It helps to think of Power BI report automation as a chain of five links. If even one breaks, the report shows stale data.

  1. Data source. A Rivilė or Finvalda database, Excel files in SharePoint, a CRM or a logistics system.
  2. Data gateway. If the database sits on the company’s server, the Power BI cloud connects to it through a gateway (the on-premises data gateway). Cloud-based sources usually don’t need one. We cover this in more detail in our article on how the Power BI data gateway works and how to install it.
  3. Data model. ETL processes clean, combine and link the tables: invoices, products, customers, departments. A well-designed model is the foundation for a refresh that runs quickly and without errors.
  4. Scheduled refresh. In the Power BI service you set the frequency, the times and the time zone.
  5. Reports and access. Users see the figures in a browser or the mobile app, according to the permissions they have been given.

How many times a day a report can refresh

The number of refreshes depends on your licence. According to Microsoft’s scheduled refresh documentation, the limits are:

Licence or capacityScheduled refreshes per dayTypically suited to
Power BI Proup to 8Financial reports, profit and debt monitoring, board reports
Premium Per User (PPU), Premium or Fabric capacityup to 48Sales and inventory, where figures need to be seen every half hour

For most finance teams, 8 refreshes are enough. A sample schedule: 7:00, 9:00, 11:00, 13:00, 15:00 and 17:00. In the morning the manager sees yesterday’s closed figures, and during the day follows how sales are going. A higher frequency makes sense when decisions are taken within a few hours, for example when restocking inventory or planning shifts.

One important detail that many people overlook: the scheduled time is not guaranteed to the minute. The same Microsoft documentation states that a refresh starts within 15 minutes of the scheduled time, but under heavy load the delay can be up to an hour. If the board meeting starts at 9:00, schedule the refresh for no later than 7:30.

If you need a near real-time view, Power BI also has a live connection mode (DirectQuery), but it puts more load on the data source and often slows reports down. For most accounting reports, scheduled refresh is the more reliable choice. We discuss licence differences and settings in more depth in our article on Power BI scheduled refresh limits and settings.

Why the automation stops

Refresh usually stops working not because of complex faults but for a handful of recurring reasons:

  • Inactivity pause. If nobody opens a report or dashboard for two months, Power BI pauses its scheduled refresh. This isn’t a fault: simply open the report and switch the schedule back on. This rule often catches out seasonal reports, such as the annual balance sheet analysis.
  • Gateway switched off. If the gateway is installed on an employee’s computer that is turned off overnight, the morning refresh will fail. The gateway must run on a server that is always on.
  • Changed credentials. When a database or account password is changed, it must also be updated in the Power BI settings.
  • Changed source structure. A renamed Excel column or a file moved in SharePoint breaks the data model’s connection.
  • Unnoticed errors. According to Microsoft’s data refresh overview, Power BI sends emails about failed and paused refreshes, but refreshes triggered manually or through Power Automate do not send such notifications. Assign someone to receive those emails and act on them.

Report automation tools: how to choose

When looking for the best tool, compare not product names but how much work is still left to a person. These are the main approaches:

ApproachRefresh without human inputCombining multiple sourcesWhat the company needs
Excel with macros or Power QueryPartial: the file has to be opened and refreshedLimitedSomeone to maintain the files
Standard accounting system reportsNo: the report is generated on requestData from one system onlyManual exports for analysis
In-house Power BI solutionYes, if configured correctlyYesIn-house Power BI and data modelling skills
Ready-built Power BI packages for accounting systemsYesYesA licence and access to the data
Bespoke analytics projectYesYes, tailored to the company’s systemsTime to document processes

For a small company using Rivilė or Finvalda, the most sensible starting point is usually a ready-built package: the key metrics are already modelled and the refresh works from day one. A bespoke project makes sense when accounting needs to be combined with CRM, logistics or POS systems, or when the company has industry-specific processes, such as cost control on construction projects.

Steps for Rivilė or Finvalda users

  1. Define your metrics. Write down the 5 or 10 figures the manager needs to see every morning: revenue, expenses, profit, receivables, stock levels.
  2. Tidy up the data in your accounting system. Check that departments, cost objects and product groups are filled in consistently. Automation spreads errors quickly too.
  3. Choose your licence according to frequency. If a few refreshes a day are enough, Pro will do.
  4. Install the gateway on an always-on server. This is the most common place where people cut corners and pay for it later.
  5. Set the schedule around your working rhythm. Allow an hour’s margin before meetings.
  6. Turn on notifications and assign an owner. One person is responsible for keeping the refresh running.
  7. Grant access by role. A sales manager doesn’t necessarily need to see payroll data.

You’ll find concrete examples in our guides on automating Finvalda debt reports and automated board reports in Power BI.

Security: what automation changes and what it doesn’t

An automated data flow removes the need to send files around by hand, so the risk is substantially reduced. However, Article 32 of the GDPR requires appropriate technical and organisational measures, and these don’t appear on their own. The State Data Protection Inspectorate (VDAI), Lithuania’s data protection authority, in its July 2026 recommendation on personal data security, stresses that access to data must be restricted according to job function and that security measures must be reviewed regularly.

In practice this means three things:

  • once a quarter, review who has access to the reports and remove the rights of employees who have left or changed roles;
  • don’t ban exports blindly, but agree clearly that confidential data is not sent to personal devices or personal email;
  • if the reports contain personal data, such as pay by employee, agree the access structure with your data protection officer or legal adviser.

Our view

Working with Rivilė and Finvalda users, we see that automatic refresh is not a technical setting but a management tool. When managers open the report themselves and see today’s figures, the conversations change: the accountant is no longer a producer of reports but becomes a partner in analysis.

That is why we build our packages so that the refresh runs without any extra work from the user, with revenue, expenses, profit, the balance sheet, sales, inventory and debts all in a single Power BI model. When needed, we connect SharePoint, Excel, CRM or logistics data to the same model. The biggest mistake we see is starting with attractive charts rather than with clean data and a clearly responsible person. A reliable morning refresh is worth more than ten visualisations nobody trusts.

FAQ

Can Power BI refresh reports in real time?

With a Pro licence a report can refresh up to 8 times a day, and with Premium or Fabric capacity up to 48 times, roughly every half hour. True real time requires a live connection, but for accounting reports scheduled refresh is usually enough.

Does a computer have to be switched on for the report to refresh?

If the database is on your server, the machine running the data gateway must be on. That is why we recommend installing the gateway on an always-on server rather than on an employee’s laptop.

Why has my report suddenly stopped refreshing?

The most common reasons: nobody has opened it for two months, the gateway is switched off, a password has changed, or a source file or column has been renamed. Check the refresh history in the Power BI service and any error emails.

Is report automation worth it for a small company?

Usually, yes, if at least a few hours a week go into reporting or if the manager makes decisions based on out-of-date data. A ready-built package lets you get started without a separate IT project and pay a monthly fee.
