Analytics with Rivilė: which reports you can get from your Rivilė data
Rivilė is one of the most widely used accounting systems in Lithuania, and it already holds all the data you need to make decisions: sales, cost of sales, stock levels, customer debts and general ledger accounts.
There is just one obstacle: Rivilė reports come as PDF or Excel files. So every new breakdown, whether by department, sales manager or product group, means yet another export and yet another spreadsheet pieced together by hand.
Below, we look at which Rivilė reports you can have automatically and what each of them actually shows.
Financial reports
This is the foundation most companies start with:
- Revenue analytics: income month by month, compared with last year and with budget.
- Expense analytics: where the money really goes, with drill-down to individual general ledger accounts.
- Profit analysis: gross, operating and net profit in one place.
- Profit and loss statement: several years compared in a single table.
- Balance sheet: the structure of assets and liabilities, with every line expandable.
All of them draw on the same general ledger you already have. The only difference is that the figures are calculated automatically and refreshed every morning.
Sales and customer reports
This is usually where the quickest practical benefit appears:
- Sales analysis: turnover, margin and average invoice value by department and sales manager.
- Customer analysis: who is buying more, who has gone quiet and who is paying late.
- Product movement analysis: which products earn money and which merely take up space.
It is in this view that you see most clearly the difference between “turnover went up” and “turnover went up, but margin fell because one sales manager was handing out discounts”.
Debts and inventory
- Debt analytics: overdue receivables by ageing, customer and sales manager.
- Late payments: specific invoices and the number of days overdue.
- Slow-moving stock: how much money is sitting in the warehouse without moving.
These three reports usually pay for themselves first, because they have a direct bearing on cash flow.
What Rivilė cannot do on its own
The most valuable feature of analytics is the ability to combine Rivilė data with things that are not in Rivilė: a CRM, an HR system, a till system, or even an Excel file holding the budget.
A practical example: sales data from Rivilė combined with sales managers’ targets from a separate spreadsheet produces a target achievement report that neither system could provide on its own.
How it works technically
Power BI connects to the Rivilė database with read-only access: it changes nothing and writes nothing back to Rivilė. Reports refresh on a schedule, so the data is ready before the working day begins.
